Membership Procedure

This procedure provides information about membership to the Western Australia Police Sport Federation (WAPSF).

1. MEMBERSHP ELIGIBILITY

To be eligible for WAPSF member you must be one of the following;

  • To be eligible for WAPSF member you must be one of the following;
  • Serving Police Officer of the WA Police Force
  • Retired Police Officer of the WA Police Force
  • Serving Police Auxiliary Officer of the WA Police Force
  • Serving Protective Service Officer of the WA Police Force
  • Serving Cadet or Trainee of the WA Police Force
  • Serving Aboriginal Police Liaison Officer of the WA Police Force
  • Current Police Staff Member of the WA Police Force

2. MEMBERSHP APPLICATIONS

• If you are eligible (as per above) to be a WAPSF member, membership applications will only be accepted via the WAPSF App or on the approved Membership Application Form.

• Applicants will be advised within 14 days of their Membership Application if they are successful in joining the WAPSF.

• WAPSF members will remain a member for 12 months or make a minimum of 26 fortnightly payments.

3. MEMBERSHIP FEES

• The WAPSF Board current membership fee is $5.00 per fortnight or $130 per year.

4. MEMBER REIMBURSEMENTS / SPONSORSHIP

• WAPSF members are eligible to make reimbursement requests, once their first fortnightly payment has been made; or on receipt of their annual fee.

• WAPSF members are to familiarise themselves with the Reimbursement Procedure and the Sponsorship Procedure and comply with this on every occasion.

5. CANCELLED MEMBERSHIP

• If a WAPSF membership is cancelled prior to 12 months, or when less than 26 fortnightly payments have been made, the WAPSF member will be required to pay back all reimbursements made during their membership period, within 28 days of cancelling their membership.

• WAPSF Members must advise the WAPSF Board of their membership cancellation via e-mail to the WAPSF smail.

• If a WAPSF member has cancelled their membership and has an outstanding debt, they will be unable to re-join the WAPSF until the debt is cleared.

Reimbursement Procedure

This procedure provides information on reimbursement requests related to Western Australia Police Sports Federation (WAPSF) members participating in social and/or competitive sporting events.

1. ELIGIBILITY

• To be eligible for reimbursement from the WAPSF you must be a financial member of the WAPSF.

• International , Intrastate and Interstate event fee reimbursements may be claimed by the WAPSF member after their first fortnightly payment to the WAPSF.

• Sporting Events and Recreational Activities, reimbursements may be claimed by the WAPSF member after their first fortnightly payment to the WAPSF.

2. REIMBURSEMENT

• Reimbursement requests must be submitted via the WAPSF App, or on the approved reimbursement form.

• The reimbursement request must be submitted with a receipt for the fee / event, AND evidence provided the member participated in the event.

• All reimbursement claim requests are at discretion of the WAPSF Board.

3. REIMURSEMENT ALLOWANCES

Allowances fall into three different categories

I. Intrastate, Interstate and International Events

• Members may claim up to $300.00 of their entry fees, per event

II. Sporting Activity

Definition: an event involving physical exertion and skill that is governed by a set of rules and undertaking competitively.

• Members who partake in Sporting or Recreational Activities, may claim up to $300.00 of their fees, per calendar year beginning 1 January 2022.

III. Recreational Activity

Definition: is an organised physical activity, involving physical exertion, organised by a club or recreation association.

• Members who partake in Sporting or Recreational Activities, may claim up to $300.00 of their fees, per calendar year beginning 1 January 2022.

 

Australasian Police and Emergency Services (AP&ES) Games

• When the AP&ES Games is hosted by the WAPSF, no reimbursements to members will be issued towards their event fee.

• When the AP&ES Games is hosted interstate, members may claim up to $150.00 of their entry fees.

• When the AP&ES Games is hosted internationally, members may claim up to $200.00 of their entry fees.

• APES Games reimbursement is additional to the individual reimbursement allowance.

 

International or National Police Club Championships

• The event must be recognised as an International or National Police Championship.

• When the Championships are hosted intrastate or interstate, members may claim up to $150.00 of their entry fees.

• When the Championships are hosted internationally, members may claim up to $200.00 of their entry fees.

• International or National Club Championship reimbursement is additional to the individual reimbursement allowance.

• If the WAPSF provides sponsorship, as per Sponsorship Procedure, to the team attending the championship, individual member claims will not be reimbursed. The total reimbursement will not exceed the relative individual entry fee collectively.

 

National Selection for International Sporting Events

• Members selected by a National Sporting Organisation (NSO) to compete in a recognised National or International Sporting Event may;

• Claim up to $150.00 of their entry fees, when competing within Australia.

• Claim up to $200.00 of their entry fees, when competing Internationally.

• Members must provide proof of selection by way of official notification from the NSO.

• National Selection for International Sporting Event reimbursement is additional to the individual reimbursement allowance.

 

WAPSF Sponsored Events / Activities for individuals

• The WAPSF Board will nominate and sponsor events and activities throughout the year.

• Members will be notified of these nominated events and activities via e-mail and they will be advertised on the WAPSF Website / App.

• The registration or entry fee to these events and activities are additional to the individual reimbursement allowance.

4. REIMBURSEMENTS CAP

• Members may claim up to $500.00 per calendar year, commencing 01 January 2022.

• Applications can be made to the WAPSF Board to extend a member’s reimbursement cap. The member must submit a written application to the WAPSF Board, outlining the events and reason why. The final decision will be determined by the board, and the decision made will only be valid for the calendar year of the application.

• All other reimbursements requests are at the discretion of the WAPSF Board.

Sponsorship Procedure

This procedure provides information about obtaining Sponsorship from the Western Australia Police Sports Federation (WAPSF) as an individual WAPSF member or a registered WAPSF Club / Sporting Team.

 POLICY GUIDELINES ON SPONSORSHIP AND SUBSIDIES POLICY

 The purpose of this Sponsorship Policy is to provide a model for Western Australia Police Sports Federation (WAPSF) to use and adapt for their circumstances and purposes.

 It is the intention of the WAPSF Board to best distribute the members’ funds as equitably as possible.

Sponsorship Policy

  • Only financial WAPSF members are eligible for sponsorship and subsidies.
  • Members must have been WAPSF members for six months minimum to receive sponsorship for International events.
  • Sponsorship and subsidies will be at the discretion of the WAPSF Board.
  • Sponsored athletes and teams will make every effort to display WAPSF signage and/or WAPSF clothing.
  • Sponsored athletes must be prepared to submit a brief report about their event when requesting reimbursement. The WAPSF Board utilises these reports for From The Line, Yearbook and any other media/marketing outlet.
  • All sponsored teams must present an annual or championship report as a condition of their sponsorship.
  • Gymnasium membership is not sponsored.
  • Lifestyle events and motor sports, such as car racing, will not be sponsored, except in cases that the WAPSF Board deems warranted.
  • Charity events such as golf and bowls to be referred to the Board.
  • Athletes and teams that do not compete will be required to refund their costs, except in exceptional cases that the WAPSF Board deems warranted.
  • Late entry fees will not be subsidised, except in cases that the WAPSF Board deems warranted.
  • Sponsorship and subsidies will generally be paid after the event on verification that the athlete competed. Marquee events may be the exception.

Team uniform/ kit for each WAPOL sport team affiliated with WAPSF

·       $3,000 per affiliated club for the purchase to team uniforms or playing equipment. At the discretion of the WAPSF Board this amount may be increased if required. Approval will be required prior to any order being placed.

·       To qualify for the $3,000 affiliated clubs must have at least 80% of their members as current financial members of the WA Police Sports Federation.

Sponsorship and Subsidies of National Championships and / or Events

  • Sports seeking support to convene a National Championships or Event must provide the WAPSF Board with a written proposal six months prior to the event commencing. The sponsorship amount will be capped at a maximum of $10,000 and at the total discretion of the Board and individual competitors’ will not be entitled to subsidies for this event. The proposal must contain but not be limited to the following;
    • Details of the event
    • Sponsorship of the event
    • Event Budget
    • Risk Management Analysis
    • Appropriate insurance coverage
    • The number of WAPSF members competing in the event
    •  WAPSF benefits
    • Signage/media
    • Complimentary attendance at opening, closing, sponsors and presentation dinners, etc
    • Utilisation of WAPSF Board at presentations

Interstate/ Intrastate / International and Local Competition 

  • 100% of entry frees up to $100 per competitor
  • 100% of team entry up to a maximum of $250 for a team consisting of 100% WAPSF membership thereafter pro rata.
  • WAPSF will not subsidise late fees other than in mitigating circumstances

International Police Events / National Police Championships / AP&ES Games

  • Subsidy of $150 when competing within Australia
  • Subsidy of $200 when competing at a recognised International Police Events overseas.

National Selection for International Sporting Event

  • When selected by a National Sporting Organisation (NSO) to compete in a recognised International competition the member will have to provide proof of selection by way of an official notification from the NSO.
    • Subsidy of $150 when competing in Australia
    • Subsidy of $200 when competing at a recognised International event overseas.

Miscellaneous – Members attending AP&ES Games

  • A deposit will be required to secure accommodation by all members who must adhere to the policy administered by the WAPSF Board.
